Batch, Filter, And Sort Your Way To Efficiency: Accounting Apps Edition

AI and automation are getting all the glory right now. They are amazing for productivity; there’s no doubt about that.

But our apps' batch (bulk), filter, and sort features rarely get their moment in the sun. Individually or a combination of them is one of the things I look for when choosing new technology.

The ability to sort through data, filter some out and then batch do anything is killer for efficiency! Often AI or automation can run amok, and sometimes we need to lay eyes on things to verify or change information. Being able to vet using sort and filter and then add/delete/archive/update/move in batch allows for the effectiveness of our time while keeping our files and data clean.

Here is a very short list of my fav batch, filter and sort actions in my accounting apps.

Rewind:

  • Batch

  • Filter

    • Content types to “rewind” transactions back to their intended state

  • Sort

    • Transactions by date to view the transaction date easily

QBO

  • Batch

    • The list of batch actions is extensive

      • Some of my favs are reclassify, void, delete, import, invoice, edit transactions and lists

  • Sort

    • This is the very first step I take when starting to clear Dext, and the QBO bank feeds

      • When reconciling, using the “cleared date” is fantastic for finding transactions that may have been initiated in a period by not actually cleared

  • Filter

    • By so! many! criteria!

      • Get the “noise” outta the way when dealing with data

        • In separate tabs, I use the same filter type in Dext and QBO for easy viewing of matches and misfits between the apps

        • In QBO use filters heavily in bank feeds, reconciliation, rules

Dext

  • Batch

    • Click off in batch to publish, archive, convert, merge, edit, export, clear publishing, flag, and unflag

  • Sort

    • By date, payee, category… to spot the rogue receipts that may impact a closed accounting period

      • In separate tabs, I use the same sort type in Dext and QBO for easy viewing of matches and misfits between the apps

  • Filter

    • By so! many! criteria!

      • Clear the clutter when dealing with receipts

        • This applies to Dext archived and live receipts

RightTool

  • Batch

    • There are many unique batch actions with RightTool to make your day hum with efficiency

      • Copy down values in transactions, mark all done in Books Review, delete from Customer/Vendor detail page, edit in register, edit bank accounts

  • Filter

    • COA filter by type
