QBO In-cell Calculator
I am leaning into sharing the simple efficiency tricks I love in QBO. My last few posts have shown me that not everyone knows some of my favourite ones, even though I take their existence a wee bit for granted.
I have been working in QBO since 2012, and I didn’t know that you could complete calculations right inside transactions until 2014. That's two years of dragging out my calculator that I’m never getting back! I don’t want any of you to miss another minute of math efficiency.
One day I mentioned to my friend and mentor, Kelly Williams, that the feature I missed most from QBDesktop was calculating things in transactions, and she showed me the light. It was simple, yet I didn’t know - you hit the tab key, not the enter key, to complete the calculation!
Here’s the process:
Start entering the number
Use the standard math operation keys to create the calculation
/ = divide
* = multiply
+ = plus
- = minus
% = % (just letting you know this is an option)
Hit the Tab key
This works in all cells where you enter numbers - Sales transactions, Expense transactions, Journal entries, Deposits… the whole stinking lot of them.
Just like jonesing in all my apps for the ability to use keyboard shortcuts to advance dates in QBO, I want in-cell calculations across my tech stack. Freshbooks & Xero, along with Dext & Hubdoc, are the only others I have used that have this nifty little trick. But feel free to send me a note of those I don’t know about, so I can let other folks know.
Since we are having calculation fun here, I’m passing along my fav little trick for doing math gymnastics outside of QBO and Dext.
I use my URL bar.
I pop my numbers and operations right in there, and boom, arithmetic is done for me. No extra app needed, nothing to open and no bit of apparatus taking up real estate in my wee office. Of course, I use a spreadsheet for long calculations, stuff I need for posterity and formulas. But for day-to-day one-and-done calculations, I just open another tab and peck out my numbers.
